with one or more questions for details so that we can come back with an offer.

HOW TO REPLY:

The reply would usually be:

"Hi Thomas, thanks for asking, we would love to help you with this!

In order to give you a good quotation, we would like to know a few more details."

Or in swedish:

"Hej Thomas, tack för frågan, det här hjälper vi er gärna med!

Skulle behöva lite mer info för att ge en offert."

Then we include just a couple of questions—the most important ones, as we don't have
to ask everything right now. The main thing is just that we want to reply fast with
some questions, so make sure that the questions are valid.

We then end the email with (no more footer etc):

If a request seems like a bigger job, then we should reply with a request for a meeting.
A bigger job is something requiring more than one day of work and looking like it is
coming from a serious business person, for example filming plus editing or a bigger photo job.

In that case, we will just say:

"Hi Thomas, thanks for asking, we would love to help you with this!

Should we do a quick call or meeting to go through some of the details so that I can
give you the best offer?

We do get a lot of requests from people with the wrong expectations, mainly private
persons or people just starting up a small one-person company. It could be requests for:
1. Portraits
2. Pictures of kids, family, or dogs, naming ceremony
3. Product photography for a very small e-commerce business
4. People who want to make music videos, short films, etc.
They usually have a Gmail address. Quite often they indicate that they want a low price
"just a few quick pictures of...". In these cases, we are probably way too expensive for
them, so we would like to figure that out before investing too much time and energy.
In this case I often give a rough price point at once to "test them".

For example:

"Hi Thomas, thanks for asking. Portrait pictures are usually in the price range of
5,000 to 10,000 SEK, depending on what you want to do.

Let me know if you want to go through some details so that you can get a more exact price.

Some examples of pricing for "testing":
1. Portraits: 5,000-10,000 SEK
2. Product images:
  (a) Starting cost of 4,000 SEK
  (b) 300-600 SEK per product
3. Music videos: 50,000 SEK and up
4. Weddings: 30,000-50,000 SEK
5. Small events (such as a party 2h): 8-15,000 SEK

For the more serious requests that are not big enough to ask for a meeting at once,
we would want to ask a couple of questions just to respond quickly. We should only ask
the most obvious things in a short mail at this point. We don't want to overload them
with too many questions; the purpose of the mail is mostly just to get in the loop,
but if we get the main questions answered we can then also come back with a quotation/price.

Here are a few categories and what we usually want to know for each category:

Event Photography and Filming
For these services, we would like to know the dates, the location, and the specific
hours the photographer is expected to be on-site. We also need to know if the client
requires film, photography, or both.
If they need both film and photography, we have a few specific questions:
1. Do they require two people so that we can document everything simultaneously, or is
it sufficient to have one person jumping between tasks?
2. What is the preferred style of documentation? It would be helpful if they could
describe the look they are going for. For example, mingle-style images where people
look into the camera smiling, or more reportage "fly on the wall" style.
3. What are the delivery requirements?
  (a) Do they need anything delivered during the day?
  (b) Do they need a fast turnaround (such as 24 or 48 hours), or is a longer timeline acceptable?
4. We dont usually ask about nr of guests.
If the event involves seminars or lectures, we need to clarify the scope of the video coverage:
1. Do they want full video recordings of the sessions, or are they looking for a highlights
video emphasizing social events, interactions, and people having a nice time?
2. If they need to document lectures and seminars in full, is one static camera filming the
scene (including the speaker and the slides) sufficient?
3. Alternatively, do they need a more advanced setup, such as one static camera plus a
second zoomed-in camera following the speaker more closely?
If this seems to be a production company, do they want us to do any of the editing or
just send raw material to them? Do they have any equipment or format requirements or a
specific crew setup in mind?

Corporate headshots and portraits:
1. How many people should we take pictures of?
2. Do they want us to come to their location (which is what we normally do) and rig there?
3. Do they want us to bring a studio background, for example, white or gray, or do they
want to have "in the environment" on-location pictures?
4. Do they have any special requirements for look and feel?
  (a) Do we need to comply with existing images?
  (b) Should we set a new style?
5. Is one picture delivered for each person sufficient?
6. How fast do they need the delivery?
7. Do they have any other requirements?
We would also like to know the proposed date and location for this.

Press images / portraits:
Usually shot in the environment, some looking into the camera, some more half-body in
action style images. Aiming for some different moods like happy and more serious.
Shoot at their location? Where is that?
How many images do we aim for?
Do they have any special requirements for look and feel?
  (a) Do we need to comply with existing images?
  (b) Should we set a new style?
When to shoot? How fast do they need the delivery?

Corporate photography, for example, pictures for websites, banner images, and things like that.
Do they have any examples of the type of images they are looking for?
1. Where is their location?
2. Do they have a proposed time for the shoot?
3. What is the expected delivery time?

Food photography:
1. How many dishes do they want us to take pictures of?
2. Nr of images per dish?
3. Should we do it in their location?
4. Do they want clean webshop-style images (for example, on a white background) or something more styled?
5. Is it only pictures of each dish, or do they also want more atmospheric images from the restaurant?

Product photography
1. How many products do they want us to take pictures of?
2. Nr of images per product?
3. Should we do it in their location or will they send the products?
4. Do they want clean webshop-style images (for example, on a white background) or something more styled?
